Tulisan ini bertujuan mendeskripsikan hasil penelitian mengenai dampak dari proses monitoring dan audit internal pada unit pengelola dokumen aset di Kantor Pusat PT Kereta Api Indonesia (Persero) terhadap kualitas pengelolaan dokumen asetnya. Proses evaluasi yang dilakukan oleh unit pengelola dokumen aset tersebut berupa monitoring kinerja dan audit internal. Kerja audit internal dilakukan oleh unit Quality Assessment Kantor Pusat PT Kereta Api Indonesia (Persero). Data yang digunakan terdiri dari data primer dan data sekunder. Data diperoleh melalui teknik observasi non-partisipasi, wawancara campuran, dan kajian pustaka. Data diolah menggunakan teknik triangulasi data. Hasil penelitian menunjukkan bahwa unit pengelola dokumen di Kantor Pusat PT Kereta Api Indonesia (Persero) telah rutin melaksanakan monitoring kinerja karyawan yang mengelola dokumen aset. Selain itu, unit Quality Assurance melakukan audit internal setiap setahun sekali sebagai tindak lanjut dari kegiatan monitoring. Audit dilakukan untuk menjamin objektivitas, kualitas, dan profesionalitas penerapan ISO 9001: 2015 tentang Sistem Manajemen Mutu. Dampak positif dari kegiatan monitoring dan audit internal adalah pembenahan berkelanjutan dan tersistem atas model pengelolaan dokumen aset yang tepat, efektif, dan efisien sehingga unit pengelola dokumen memperoleh tingkat kepuasan pengguna dokumen yang terus meningkat setiap tahun.
This paper aims to describe efforts to disseminate cultural documentation products that have been collected by the Cultural Documentation Center through the Menara Ilmu portal. In the archival perspective, cultural documentation products are an important component for dissemination. The management of cultural documentation products is carried out through the Total Archives approach and the neo-documentation concept. In addition, this study also provides an alternative to the optimization of the dissemination of cultural documentation products through the Culture Documentation Tower Science Project (PDB UGM UGM). The data used in this paper consists of primary data and secondary data. Primary data were collected through non-participation observations by looking at the Menara Menara Pusat cultural documentation and questionnaires with random sampling. The questionnaire was distributed to 100 respondents through Google forms. The conclusion obtained, namely the optimization of dissemination of cultural products can be implemented through "show ads" publication with an internal and external partnership system ". Thus the existence of cultural documentation and archive products can be optimized and can be a promotional event in the field of archives with the concept of virtual exhibition in accordance with the digital era.
Background of the study: Archival services are the final stage of records management, if they are based on an archive lifecycle approach. Accessibility aspects need to be studied in an effort to optimize archiving services so that archives can be widely used by the community. Purpose: This paper describes the process of archiving services and the accessibility aspects of archiving services carried out by Dinas Perpustakaan dan Kearsipan Kabupaten Sleman. Method: This research was a descriptive qualitative approach. Data was collected through observations, interviews, and literature studies. The data then has been analyzed in the following stages: observing the data, developing general sense, coding, compiling a narrative framework for presenting the results of data interpretation, and interpreting the data using data triangulation techniques. Findings: The accessibility aspect of archiving services at the Sleman Regency Library and Archives Service is viewed from four indicators, namely policies, facilities and infrastructure, service personnel, and archive user satisfaction. In policy indicators, the agency has been guided by legal products that are applied to technical archiving services, both at local and national levels. In terms of facilities and infrastructure indicators, in general, the department has met the minimum standard of availability and condition of archival service facilities and infrastructure. Conclusion: There are limitations in this study, namely the limitations of the analysis of each indicator which does not describe in depth so that archival services in the office are declared affordable. In addition, it is necessary to carry out a critical analysis of the results of the user satisfaction survey, namely through in-depth interview techniques to comprehensively understand the archive service process at the office.
Penelitian ini bertujuan mendeskripsikan pengelolaan dokumen aset kereta api yang didasarkan pada ISO 9001: 2015 tentang Sistem Jaminan Mutu dalam mendukung program revitalisasi beberapa jalur kereta api di Indonesia. Dalam proses revitalisasi jalur kereta tentunya dibutuhkan dokumen sebagai acuan utama. Dokumen aset yang digunakan dalam kegiatan revitalisasi jalur kereta api adalah dokumen yang berupa gambar teknik, dokumen aset kepemilikan, dan kartografi. Data yang digunakan dalam penelitian ini berupa data primer, yang diperoleh dari observasi partisipasi pada tahun 2019, in-depth interview, dan pengkajian terhadap dokumen kegiatan pengelolaan dokumen aset. Data sekunder diperoleh dari kajian pustaka berupa buku, perundang-undangan, artikel ilmiah, maupun literatur yang digali dari sumber internet. Data-data tersebut diolah dengan analisis triangulasi data. Manfaat dari penelitian ini yaitu untuk mendeskripsikan pengelolaan dokumen berbasis ISO, serta menganalisis dampak model pengelolaan dokumen tersebut terhadap program revitalisasi jalur kereta api di Indonesia. Adapun kesimpulan yang diperoleh yaitu pengelolaan dokumen aset dengan basis ISO 9001: 2015 memiliki peran penting mendukung program revitalisasi jalur kereta api di Indonesia. Hal ini disebabkan dalam merevitalisasi jalur kereta api dibutuhkan pedoman untuk merekonstruksi ulang struktur jalur kereta pada masa jalur tersebut masih aktif dipergunakan. Apabila dokumen aset dalam kondisi rusak, baik fisik maupun informasinya, maka proses rekonstruksi ulang akan membutuhkan biaya lebih besar dan waktu yang lebih lama.
The phenomenon of the COVID-19 pandemic forces the world community to transform into the world of work through the implementation of work from home. Many offices, especially in Indonesia, make use of various information systems and applications to facilitate work. Automation studies in the office environment are being studied again. The classic problem faced by most offices in Indonesia is that the automation system used is not integrated, one of which is the filing system. Most filing systems are limited to storing databases and tracking information. The archiving system model that is considered integrated, not limited to database storage and information retrieval, is the open journal system used by Indonesian national journals. This study aims to analyze the open journal system as a model for implementing the concept of office automation. The research object used is the open journal system used by accredited national journals in the social and humanities field. Data obtained through participatory observation of the open journal system used, in-depth interviews with journal managers, and literature studies. The data were processed and analyzed using the data triangulation approach. The results showed that the open journal system is an implementation of the concept of comprehensive office automation. However, it is necessary to conduct a study regarding the security and authentication of the metadata that is created on the system.
